The Role

Ansept Construction is a growing general contractor delivering residential, commercial, multifamily, restoration, and design-build projects across Western Canada. We are hiring a Project Coordinator to support our Project Managers, taking full ownership of project administration, cost and schedule tracking, and stakeholder coordination on our larger and more complex builds. You will support Project Managers across various concurrent projects, resolve day-to-day issues without escalation, and ensure every project is fully documented, on schedule, and on budget.

Key Responsibilities

• Own day-to-day coordination on 3-4 concurrent commercial, residential, or multifamily projects, serving as the senior administrative lead and first point of resolution for scope, schedule, and documentation issues before they reach the Project Manager.

• Manage RFIs, submittals, shop drawings, occupancy reports, and warranty claims across the full project lifecycle, ensuring turnaround times protect the schedule and that all documentation is traceable.

• Track project financial performance, including monthly billings, cost reports, and budget updates to senior management, and support the Project Manager in identifying and implementing cost-control measures.

• Prepare, process, and maintain change order documentation, subcontractor correspondence, and contract administration deliverables to a standard that stands up to audit and client review.

• Support tendering, procurement, and buyout activities, including reviewing drawings and specifications to anticipate risks, constructability issues, and cost efficiency opportunities.

• Coordinate directly with clients, consultants, municipal inspectors, and provincial authorities to ensure regulatory compliance, timely inspections, and alignment between all stakeholders on scope and schedule.

• Conduct site inspections for quality, safety, and deficiency tracking, working alongside consultants and inspectors to resolve technical issues and keep work moving.

• Oversee project closeout, including as-built documentation, operational manuals, deficiency lists, and warranty package handover to the client.

You Must Have (Non-Negotiable)

• Progressive construction project coordination experience, with hands-on exposure to commercial, residential, or multifamily projects of $10M or greater.

• Demonstrated experience managing RFIs, submittals, change orders, cost tracking, and monthly billings across the full project lifecycle.

• Post-secondary credential in Construction Engineering Technology, Construction Management, Engineering, or a related technical field.

• Strong ability to read and interpret drawings, specifications, and technical documents to anticipate constructability and cost risks.

• Proven experience coordinating directly with consultants, inspectors, and regulatory authorities without requiring Project Manager intervention on routine matters.

• Strong written and verbal communication skills. You will draft client correspondence, regulatory submissions, and internal reports that go out without heavy editing.

• Proficiency in Microsoft Office (Excel, Word, Outlook) and fluency with construction PM software.

• A valid driver's license and reliable vehicle for site visits.

Nice to Have (But Not Required)

• Engineer-in-Training (EIT) designation, or a Bachelor's degree in Engineering or Construction Management.

• Experience with LEED or other sustainability certification documentation.

• Prior exposure to public-sector or municipal projects, including familiarity with tendering and procurement processes.

• Experience self-managing a project from site selection or early design through to occupancy and handover.

• Familiarity with Procore, Archdesk, MS Project, or similar construction PM software.

• Gold Seal Certified (GSC) designation or actively working toward it.

• Experience mentoring junior coordinators or administrative staff.

This Role Is Not Right for You If...

✖ You have only supported Project Managers on administrative tasks without owning cost tracking, change orders, or consultant coordination yourself. This role is for someone ready to operate independently.

✖ You are not comfortable being the first point of contact for consultants, inspectors, and clients. Escalating every routine issue back to the Project Manager defeats the purpose of this position.

✖ You struggle to maintain documentation rigour across multiple concurrent projects. A missed change order number or an expired inspection has real cost consequences at this level.

✖ You are not building toward a Project Manager career. This role is the direct feeder into PM at Ansept, and we want someone who wants that trajectory.
